Article 1: Objective
The policy aims to ensure that admission decisions are based on correct information, stated requirements, and fair and proportionate handling of documents.
Article 2: Scope of application
It applies from the creation of the candidacy application until the issuance of the decision of acceptance, rejection, or request for completion, and is read with POL-07, POL-09, and POL-20.
Article 3: Candidacy file
The description of each program specifies the documents required before submitting the application. Depending on the programme, they may include:
- Identity and contact data.
- A previous certificate or diploma and a statement of results.
- A CV or statement of experience.
- Proving a linguistic level when it is an essential condition.
- Approval of the guardian or legal representative.
- A special document that the program justifies is necessary.
The candidate is not required to submit documents or data that are not necessary to evaluate eligibility.
Article 4: Document formats and quality
Clear digital copies in the stated format and size are accepted. The document must appear in its entirety without cropping or modification. An inspection of the original or a certified copy may be requested when there is a reasonable need for verification.
Article 5: Foreign documents and translation
If the document is in a language that the Academy cannot reliably examine, a translation may be requested from a qualified or certified translator in accordance with the requirements of the entity that will use the document. It will be announced prior to performance whether translation or legalization costs are outside the program fee.
Article 6: Validation
Verification may, to the extent necessary, by:
- The issuing authority or official verification method;
- A symbol or reference number appearing in the document;
- Compare the data with the identity provided;
- Request clarification or alternative document;
- A specialized service provider committed to confidentiality, when necessary.
It is not communicated with a third party in a way that reveals data in excess of the purpose of verification.
Article 7: Internal evaluation or conformity
The Academy may conduct an internal assessment to see whether previous study meets a specific entry requirement or exemption. This evaluation:
- Limited to the academic program in question;
- It is not considered a national or governmental equivalent;
- No university, union, operator or licensing body is required;
- It does not change the legal description of the original document.
Article 8: Previous learning and experience
If the program allows consideration of prior learning or experience, the evidentiary criteria, method of evaluation, and the impact of the decision on units, fees, and duration shall be stated. No exemption will be granted based on an unsubstantiated claim.
Article 9: Language requirements
The program page specifies the language of instruction, assessment, and minimum requirements. The level can be proven by an acceptable certificate, test, interview or previous study, according to what is announced. A paid test is not required if the level can be demonstrated by an equivalent method acceptable to the Academy.
Article 10: Completing the file
If the file is incomplete, send a clear list of deficiencies and a reasonable deadline for completion. An incomplete application does not turn into a final registration or financial commitment except in accordance with an express offer and acceptance.
Article 11: Decision
The result of the review will be one of the following:
- Unconditional acceptance;
- Acceptance is conditional upon specific completion;
- Request additional information;
- Suggesting a more appropriate program without being obligatory;
- Summary reasoned rejection.
The acceptance decision remains separate from confirming the registration and activating the account.
Article 12: Suspicion of an incorrect document
When there is a serious indication, the decision is temporarily suspended and the candidate is given a reasonable opportunity to explain. An effective final rejection is not issued based exclusively on an automated indicator. The document may be rejected or acceptance may be canceled if forgery or distortion is proven, while the right to review is preserved.
Article 13: Data protection and retention
Access to the file is restricted, and documents are kept in accordance with POL-20 and the approved retention schedule. Unnecessary copies are deleted when the purpose has ended and there is no legal reason or dispute existing.
Article 14: Correction and review
The candidate can correct a material error or request a review of a decision related to a document or language level through the official channel, according to POL-18, without paying a fee simply to correct an error issued by the academy.
Article 15: Prohibition on misleading claims
The Academy does not offer internal verification or accept the document as a government credential, official equivalency, or professional license. The candidate is asked to refer to the competent authority if his purpose is organized work or to pursue studies at another authority.
Article 16: Communication and Access
Direct requests to [email protected]. The policy version number approved by the candidate is kept in his file.
