Preamble
ASMH Africa provides a clear and secure payment process that allows an applicant or trainee to know the amount, currency and corresponding service before completing a transaction.
This Policy is intended to help beneficiaries complete payments easily, obtain clear evidence, and understand how pending, duplicate or incomplete transactions are handled, without undisclosed deductions or obligations.
Article 1: Purpose of the Policy
This Policy governs:
- approved payment methods;
- the steps for completing a transaction;
- financial transaction statuses;
- payment links sent electronically;
- bank transfers;
- payments made from another African country;
- payments made by another person for a trainee;
- proof of payment and receipts;
- invoices and account statements;
- pending or incomplete transactions;
- duplicate or excess payments;
- protection of payment data;
- requests for assistance or correction of financial information.
Article 2: Governing Principles
ASMH Africa applies the following principles:
- displaying the amount and currency before payment;
- linking every transaction to a specific order or service;
- never charging an amount without the payer’s consent;
- issuing proof for every successful transaction;
- showing the transaction status in the account;
- never requesting confidential card data through messages;
- providing assistance for pending or duplicate transactions;
- protecting financial and personal information;
- never using payment data for marketing purposes;
- respecting the beneficiary’s financial rights in Morocco and in their African country of residence.
Article 3: Payment Methods
Depending on the country and programme, ASMH Africa may provide one or more of the following methods:
- bank card;
- bank transfer;
- electronic payment link;
- mobile wallet or mobile payment method, where available;
- an approved local payment method in the trainee’s country;
- payment in full;
- payment by instalments;
- payment by a family member or supporting organisation;
- any new method officially displayed in the portal.
The methods actually available are shown during registration. A particular method should not be assumed to be available unless it appears on the payment page or in a written offer issued by ASMH Africa.
Article 4: Official Payment Channels
Payment is made through one of the following channels:
- the payment page in the official portal;
- a payment link issued by ASMH Africa;
- the bank account stated in the registration offer or invoice;
- a local method displayed in the applicant’s account;
- another channel confirmed in writing through official communication methods.
If a payment link is sent by email or a messaging application, the message must state:
- the ASMH Africa name;
- the beneficiary’s name or application number;
- the service or programme;
- the amount;
- the currency;
- the link’s validity period;
- how to request assistance.
The payer is never asked to send any person the full card number, PIN or one-time verification code.
Article 5: Information Displayed Before Confirmation
Before payment, the payer is shown a summary containing:
- the beneficiary trainee’s name;
- the order number;
- the programme or service name;
- the base price;
- any discount or scholarship;
- any disclosed taxes or fees;
- the amount of the current payment;
- the outstanding balance;
- the currency;
- the payment method;
- the final total amount.
The payer may return and correct the order information before pressing the confirmation button.
Article 6: Payment Authorisation
A transaction is authorised when the payer personally:
- reviews the amount and service;
- selects a payment method;
- enters the required information in the secure payment area;
- completes bank verification where requested;
- presses the final confirmation button.
Completing a form or opening a payment link is not final consent unless the confirmation step is completed.
ASMH Africa does not retain consent for a later or recurring payment except under a clear instalment plan accepted by the payer.
Article 7: Financial Transaction Statuses
A transaction may have one of the following statuses:
7.1 Awaiting payment
The order has been created, but payment has not started or has not yet been completed.
7.2 Processing
The transaction has been sent to the bank or payment provider and the final result is still awaiting confirmation.
7.3 Successful
Receipt of the amount has been confirmed and the receipt has been issued or made available for download.
7.4 Incomplete
The transaction stopped before it succeeded. It may be retried after checking that no amount was charged.
7.5 Declined
The bank did not approve the transaction. The payer may contact their bank or choose another method.
7.6 Cancelled
The order was closed before payment was completed, and no amount is due for the cancelled transaction.
7.7 Refunded
The eligible amount was returned through the original payment method or another agreed method.
7.8 Partially refunded
A specified part of the amount was returned, with an explanation of the reason and calculation method.
Article 8: Confirmation of Successful Payment
Payment is considered successful when one or more of the following occurs:
- the status “Successful” appears in the portal;
- a confirmed transaction number is issued;
- ASMH Africa issues a receipt;
- an electronic confirmation reaches the registered email address;
- receipt of a bank transfer is verified.
A banking application may display a notification before final confirmation reaches the portal. In that situation, the payer should wait briefly or contact support before attempting payment again.
A screenshot alone does not complete financial reconciliation, but it may help the support team verify the transaction.
Article 9: Electronic Notification After Payment
After a successful transaction, the payer receives a notification containing, as applicable:
- the order number;
- the transaction number;
- the payer’s name;
- the trainee’s name;
- the programme or service name;
- the amount;
- the currency;
- the payment method;
- the transaction date and time;
- the payment status;
- any outstanding amount;
- the date of the next payment where instalments apply;
- a link to download the receipt.
If the notification is not received, it may be downloaded from the account or requested from the support team.
Article 10: Payment by Bank Card
When paying by card:
- card details are entered in the designated payment interface;
- the bank may request a verification code or further approval;
- the result is sent to the portal;
- the successful or temporary status is displayed;
- the receipt is issued after final confirmation.
ASMH Africa never asks the payer to share:
- the card PIN;
- a one-time verification code;
- a full image of the card;
- the security code on the back of the card;
- online-banking login details.
Card data is processed by a specialist payment provider, and full card details are not included in the receipt or trainee account.
Article 11: Bank Transfers
When bank transfer is selected, the following is displayed or sent to the payer:
- the beneficiary name;
- account details;
- the amount;
- the currency;
- the reference to enter;
- the expected verification time;
- how to submit proof of transfer.
The order number or trainee’s name should be included in the transfer reference to facilitate reconciliation.
The service is activated after receipt of the required amount has been verified.
Domestic and international transfers may take different periods depending on the bank and country of origin. The order remains reserved for the period stated in the registration offer.
Article 12: Payment Links
ASMH Africa may send an applicant or trainee a dedicated payment link.
The link or accompanying message states:
- the order number;
- the amount;
- the currency;
- the service;
- the link’s expiry date;
- the support channel.
An expired link must not be used. A new link may be requested without recreating the application file.
After the link is used successfully, its status changes automatically or it is closed once payment is confirmed to prevent duplication.
Article 13: Payment Assistance Through a Messaging Application
When assistance is provided through a messaging application, the ASMH Africa team’s role is limited to:
- sending the official payment link;
- explaining the amount;
- confirming the programme or service;
- helping the payer understand the transaction status;
- sending the receipt or its download link.
Card details are not entered in the conversation, and the support team does not request confidential banking codes.
Payment remains completed in the payment provider’s secure interface.
Article 14: Payment From Another African Country
When payment is made from outside Morocco:
- the reference price is shown in Moroccan dirhams;
- an estimated amount may be shown in the payer’s local currency;
- the payment area states the currency that will actually be charged;
- the bank may convert the amount at its own rate;
- the bank may apply a separate conversion or international-payment fee;
- the ASMH Africa receipt records the amount and currency registered for the transaction.
Where the payment provider supports settlement in a local currency, the final amount is displayed before confirmation.
ASMH Africa does not add a conversion fee unless it is expressly shown in the order summary.
Article 15: Payment by Instalments
Where an instalment plan is selected, the payment record states:
- the total price;
- the first payment;
- the number of payments;
- the amount of each payment;
- each due date;
- the outstanding balance;
- amounts paid;
- the plan status.
The trainee receives separate confirmation for each payment.
The payment method is not reused automatically unless the payer clearly consents to recurring payment or gives a valid authorisation, with the ability to view due dates and manage that authorisation using the available methods.
Grace periods, late payment and reactivation of access are governed by the Instalments and Late Payment Policy.
Article 16: Payment by Another Person
A family member or supporting organisation may pay fees for a trainee.
In that case:
- the payer’s name is recorded on the receipt;
- the trainee’s name is recorded as the beneficiary;
- the service is linked to the trainee’s account;
- financial information is sent to the payer or the email address specified for the transaction;
- academic results and data remain private to the trainee;
- where a refund is due, it is returned through the original payment method whenever possible.
Paying fees does not give the payer access to the learning account unless the payer is the trainee or an authorised representative under the applicable rules.
Article 17: Payment of an Application-File Fee
Where file review is subject to a separate fee:
- the fee name and amount are displayed before payment;
- the receipt describes it as an application-file review fee;
- it is not automatically included in programme fees unless the offer says so;
- payment does not mean that admission has been granted;
- processing begins according to the timetable given to the applicant.
Whether the fee can be refunded depends on the stage reached in providing the file-review service and the policy shown to the applicant before payment.
Article 18: Pending Transactions
A transaction may temporarily appear as “Processing” while confirmation from the bank or payment provider is awaited.
When this occurs:
- the payer is not asked to repeat the transaction immediately;
- the order is retained while verification takes place;
- the transaction number may be sent to support;
- the payment record is reviewed;
- the payer is informed of the outcome;
- if no charge was completed, a new attempt may be provided;
- if the amount was received, a receipt is issued and the status is updated.
A temporary hold may appear in the bank account and may later be released within the period set by the bank.
Article 19: A Charge Appears Without Confirmation
If a bank charge appears but the order is not shown as successful, the payer should:
- not repeat payment immediately;
- keep the transaction number;
- provide the transaction date and amount;
- conceal unnecessary banking data in any attached image;
- contact support for verification.
ASMH Africa reviews the payment provider’s record and matches it to the order number, then informs the payer whether the transaction is:
- successful and requires an update;
- pending;
- incomplete;
- a temporary bank hold.
Article 20: Declined Transactions
A bank may decline a transaction for technical reasons or because of card settings.
The payer may then:
- review the transaction details;
- confirm that electronic payments are enabled;
- confirm that international payments are allowed where necessary;
- contact the bank;
- choose another payment method;
- request a new link.
ASMH Africa does not charge a fee for a declined transaction.
Article 21: Duplicate Payments
If the same amount is charged more than once for the same order:
- the transaction numbers are reviewed;
- the duplicate amount is identified;
- the payer is informed of the review outcome;
- the excess amount is returned through the original payment method whenever possible;
- a refund notice is issued;
- the account statement in the portal is corrected.
A duplicate amount is not allocated to a future instalment or another service without the payer’s consent.
Article 22: Excess Payments
If an amount greater than the amount due is received, the payer may choose to:
- receive a refund of the excess;
- add it to their credit balance with their consent;
- allocate it to another service of their choice.
A statement is issued showing the amount due, the amount received and the difference.
Article 23: Underpayments
A bank transfer may arrive short because separate charges were deducted by the sending bank or an intermediary bank.
In that case:
- the payer is clearly informed of the difference;
- a statement of the amount received is provided;
- the difference may be completed through an appropriate method;
- the full amount is not requested again;
- the amount received remains recorded in the account.
Article 24: Receipt
Every successful payment generates a receipt containing:
- the ASMH Africa name;
- its address or official contact method;
- the receipt number;
- the order number;
- the payer’s name;
- the beneficiary trainee’s name, where different;
- a description of the service;
- the amount;
- the currency;
- applicable taxes, if any;
- the payment method;
- the transaction date;
- the payment status;
- the outstanding amount, if any.
An electronic copy may be downloaded or requested again without changing the original transaction information.
Article 25: Invoice
An invoice may be issued containing:
- ASMH Africa’s details;
- the beneficiary’s or payer’s details;
- the invoice number;
- the issue date;
- the programme or service;
- the price before discount;
- any discount or scholarship;
- any taxes;
- the total amount;
- the amount paid;
- the outstanding balance;
- the payment method.
Where the payer needs a particular name or address to be included, it should be provided before final issue whenever possible.
A material error in the invoice information may be corrected while retaining a record of the amendment.
Article 26: Financial Account Statement
Depending on the services available, a trainee’s account statement includes:
- programme fees;
- file-review fees;
- discounts;
- scholarships;
- successful transactions;
- pending transactions;
- instalments due;
- refunded amounts;
- the final balance.
The trainee may request an updated electronic statement from the support team.
Article 27: Protection of Payment Data
ASMH Africa collects only the information needed to carry out and evidence the transaction.
This may include:
- the payer’s name;
- the trainee’s name;
- the email address;
- the order number;
- the amount and currency;
- the payment method;
- a transaction reference number;
- a limited set of the payment method’s last digits where supplied by the payment provider;
- the transaction status.
Full confidential card data is not included in the trainee account or receipt.
The retention period for financial information is governed by the Privacy Policy and applicable accounting and administrative rules.
Article 28: Refunds
When a financial refund is approved:
- a notice stating the amount is issued;
- it specifies whether the refund is full or partial;
- the original payment method is used whenever possible;
- the transaction is recorded in the account statement;
- the beneficiary receives the refund reference where available.
The Withdrawal, Cancellation and Refund Policy governs how the amount is calculated and the time limits for processing it.
Article 29: Disputing a Transaction
If the payer does not recognise a transaction or disputes its amount, they may contact ASMH Africa directly before or alongside contacting their bank.
ASMH Africa will:
- verify the transaction number;
- match the order and amount;
- provide a copy of the receipt or order summary;
- correct any proven error;
- cooperate with the payment provider where necessary.
This process aims to reach a prompt and clear resolution while preserving all rights available to the payer.
Article 30: Financial Communications
Necessary financial messages are sent concerning:
- payment confirmation;
- the invoice or receipt;
- the next instalment;
- a pending transaction;
- a refund;
- correction of information;
- a change affecting the payment plan.
Consent to receive these messages is not treated as consent to advertising or marketing offers.

Assistance may be requested through:

- the support portal in the account.
When contacting support, please provide:
- the name;
- the order number;
- the transaction date;
- the amount;
- the transaction number, where available.
Do not send a PIN, one-time verification code or full image of a card.
ASMH Africa aims to acknowledge the request within two business days and gives priority to duplicate transactions and charges that appear without activation.
Article 32: Applicable Rules
This Policy applies in accordance with Moroccan rules on consumer protection, electronic contracting and personal-data protection.
Residents of any African country retain any mandatory financial rights granted by the law of their country of residence where those rights are more favourable.
Article 33: Policy Updates
The version number and effective date appear at the top of the document.
Future updates do not affect a completed transaction or issued invoice unless the change corrects the record in the payer’s favour or is required by a mandatory rule.
Article 34: Acceptance of the Policy
Before payment, the following text or equivalent is displayed:
“I have reviewed the amount, currency, service and payment method, and I have read the ASMH Africa Payment, Invoicing and Receipts Policy.”
The payer’s acceptance is retained with the order number and transaction date.
